BJ is led by Rosh Kehilah and Senior Rabbi Felicia Sol and Executive Director Steven Melzer. The organization has an annual operating budget of $13 million, with approximately 80% from contributed revenue, and a staff of approximately 50 full-time and 10 part-time employees.

Position Overview

The Program Administrator is a highly organized, detail-oriented, and collaborative professional who reports to the Director of Family Life and Learning and provides administrative, operational, and financial support for the department’s wide range of programs and educational initiatives. The ideal candidate excels at managing multiple priorities with accuracy and efficiency, has strong administrative and data management skills, and is comfortable working across multiple departments and program staff. A proactive problem-solver with exceptional organizational and interpersonal skills, this individual is passionate about Jewish living and learning and brings a warm, creative, and service-oriented approach to supporting staff, families, and the broader BJ community.

Responsibilities

Responsibilities include, but are not limited to:

Program & Administrative Support
  • Logistics & Operations: Manage back-end program planning; submit communication and facility requests; coordinate event setup and catering/vendor deliveries with the Operations team.
  • Calendar & Supply Management: Maintain internal and external FLAL Google Calendars; inventory, order, and organize all program supplies.
  • Registration & Communication: Oversee program registration, liaise with community members on registration needs, and collaborate with Communications to update website event pages.
  • Event Staffing: Provide on-site administrative and logistical support during events (e.g., Friday night dinners, holiday programs).
Kadima@BJ (Hebrew School) Support
  • Registration & Data: Maintain accurate student rosters and registration data; collaborate with the Salesforce, Communications, and Finance teams.
  • Program Logistics: Partner with the Associate Director to organize classrooms, distribute teacher supply requests, and design visual materials (calendars, signage).
  • Attendance Tracking: Monitor and track attendance for students, teachers, and teen helpers; flag ongoing student absences for leadership.
Financial Support
  • Expense Management: Track department expenses in spreadsheets and process invoices, credit card payments, and reimbursements.
  • Payment Coordination: Collaborate with the FLAL team and Finance department to ensure timely and accurate tracking and payment of teachers, service leaders, vendors, and contractors.

Qualifications, Skills, and Experience

  • 1-3 years experience in program or office administration; bachelor’s degree, preferred
  • Proven experience with data management, financial tracking, and office administration
  • Highly organized and detail-oriented
  • Passionate about Jewish living and learning, bringing a fun, creative, and enthusiastic approach.

Work Environment

The BJ campus includes the Sanctuary building on 257 West 88th Street and the Community House on 270 West 89th Street, which are connected at the ground level. 

Schedule

The Family Life and Learning Program Administrator position is a full-time (40 hours per week), year-round role. In-office presence varies based on the school year and programmatic needs:

  • On-Site: Required on Tuesdays (when Kadima is in session), Wednesdays or Thursdays (depending on meeting schedules), and on Shabbat when specific programs are taking place.
  • Flexibility: This position requires flexibility to work non-traditional hours, including evenings and weekends as needed.
  • Work-Life Balance: Appropriate time-off adjustments and schedule flexibility are built in to support rest following off-hours program responsibilities.

Compensation and Benefits

This is a full-time, non-exempt position with an annual salary range of $60,000 to $65,000. BJ offers highly subsidized medical, dental, and vision insurance policies, as well as vacation and sick days, over 20 paid (National and Jewish) holidays, a 403b retirement plan and many other benefits.
